Terms & conditions

Section 1 – Gift vouchers

                      

  1. Vouchers are valid from date of purchase.

  2. Vouchers must be redeemed within 12 months of purchase. Valid and expiry dates will be displayed on your voucher.

  3. Each voucher once purchased is non refundable and cannot be redeemed for cash value.

  4. Vouchers can only be used once and is transferrable for an administration fee of £25. If transferring a voucher, please contact the office to inform us of this and a new voucher will be issued with the new recipient’s name once the fee has been paid and the original voucher returned (at customer’s own cost).

  5. Rally Drive Wales (RDW) recommends redeeming vouchers by booking at least 6-8 weeks in advance. Instructions on how to redeem your voucher are outlined in section 2.

  6. Vouchers can be extended for an additional 6 months beyond the expiry date for a fee of £65. The extension must be purchased and confirmed before the expiry date on the voucher.

  7. Please note, if the voucher is not redeemed within the valid dates, then the voucher automatically becomes invalid and can no longer be used or be refunded.

 

 

Section 2 – Bookings, Voucher Purchases, Payments and Redeeming Vouchers

 

  1. Bookings can be made online or via telephone during office hours. Where we are unable to answer your call, please leave a name and contact details and we will call you back.

  2. We advise you book for your event as early as possible i.e. 6-8 weeks in advance as availability can be limited, especially in busy periods like the summer.

  3. Vouchers can be purchased for any value of your choice (minimum of £25) and will be made out to the recipient of your choice. (Please take note of the terms for vouchers as stated in Section 1 and that the recipient of the voucher is made aware of this also).

  4. All bookings and vouchers can only be paid in full.

  5. We accept payment by debit or credit card, bank transfer, cash or cheque. Cheques need to be cleared at least 2 weeks in advance of any booked event. Please do not send cash in the post.

  6. Payments need to be made in full and cleared prior to attending any booked event. Failure to make full payment will forfeit any rights to participate in any booked events you have made and you will be liable to the terms of cancellation (Section 4, point 5).

  7. On successful booking and full or part payment, we will email you to confirm your booking and payment and attach further information about your day with your confirmation email. If you require a hard copy of this information, please request on booking.

  8. If you have not received any confirmation from us about your booking within 48 hours, please contact us ASAP. It is your responsibility to ensure bookings are confirmed.

  9. If you have not received your voucher within 5 working days, please contact us ASAP. It is your responsibility to notify us of any problems as soon as possible. We cannot be held liable for any postage problems.

  10. To redeem your voucher, please contact the office for available dates as soon as possible quoting your name as stated on the voucher, valid and expiry date and the voucher code.

  11. Once your event has been booked, we will confirm your booking by email.

  12. Please ensure you keep your voucher in a safe place and bring it with you on the day of the event.

 

Section 3 – On Event

 

Participants

  1. All drivers must hold a full UK driving licence or overseas equivalent and must bring this to the event.

  2. Participants must be in good health and must disclose any medical condition or incapacity which may potentially endanger themselves or others safety on the day. If you are unsure, we strongly advise you seek medical advice from your GP prior to booking or attending the event.

  3. Before participating on the event, each participant is required to complete an indemnity form to be completed on the day.

  4. Helmets and balaclavas will be provided to participant drivers and must be worn at all times whilst driving on the event.

  5. Third Party Public Liability Insurance is provided for all participants on the event. Personal Accident Insurance can also be arranged by prior arrangement for an additional fee.

  6. Participants must comply with RDW staff and instructors directions and advice at all times. Failure to do so and/or if we deem your behaviour to be unreasonable and/or driving is irresponsible, reckless or dangerous, we reserve the right to prohibit you from continuing on the event. In such case, you will not be offered a refund or an alternate date for an event and any vouchers will be invalid. This will also apply if we find that you are unfit to drive for health reasons or if we suspect or have evidence that you have consumed any alcohol and/or intoxicating drugs.

  7. Drivers are required to arrive punctually at the time specified on booking. We are unable to wait for late arrivals.

  8. If drivers are unable to attend on the day for whatever reason, you will not be offered a refund or an alternate date. Any voucher used will also be invalid.

  9. Lunch and refreshments are included in the price for Full Days and Group Bookings.

Spectators

  1. We welcome spectators for each driver but please advise us of numbers at time of booking before the event.

  2. There is a fee for each spectator of £15 per person. Food and refreshments are provided.

  3. Spectators are required to arrive punctually at the time specified on booking. We are unable to wait for late arrivals.

  4. Once in the venue, spectators are required to remain there for the duration of the event, except in cases of emergency.

  5. Due to limited space and safety reasons, we strongly advise that children and toddlers do not attend to spectate. Should you still wish to bring young children to the event, you do so at your own risk and we will require at least one non participating adult to take full responsibility of the child/children at all times and that adult will be responsible for the child/children’s actions.

  6. Children coming to spectate under the age of 12 years old will not be charged a fee.

  7. We offer a Fast Ride for spectators at a price of £10 per person. This can be arranged on booking or on the day of the event. Please note, availability maybe limited due to time constraints on the day and is available for adults only.

  8. Third Party Public Liability Insurance is provided for all spectators.

  9. Each spectator will be required to sign an indemnity form for themselves and if relevant for any accompanying child/children on the day.

  10. No pets are allowed on the day.

  11. All participants and spectators are to obey signs at all times.

  12. RDW will not be held responsible for any damage or theft to participants and spectators vehicles and belongings on site.

 
Section 4 – Cancellations and Changes to Bookings

 

  1. In the case that the event is not fully booked, RDW reserve the right to cancel a booked date and offer you an alternative date. In the case of a booking made with a voucher, we will extend the expiry date as appropriate to the circumstances. It is agreed that this shall be the full measure of damages due to you should we need to cancel your original booking date and is accepted as being reasonable by you.

  2. RDW reserve the right to alter any format of the event at our discretion.

  3. In the case that the event has to be cancelled for any reason and not limited to, mechanical issues with the vehicles for the event, adverse weather and/or reasons out of our control, we will offer you an alternative date or in the case of a booking made with a voucher, we will extend the expiry date as appropriate to the circumstances. It is agreed that this shall be the full measure of damages due to you should we need to cancel your original booking date and is accepted as being reasonable by you.

  4. In the event that Section 4, points 1 to 3 should occur, any expenses incurred by you and spectators e.g. hotel, travel and any other expenses will not be reimbursed. Therefore please ensure you have adequate cover for cancellations to travel and accommodation.

  5. Once a booking date has been confirmed, you are bound to attend that date. Any cancellation by you will be deemed as breaking the contract and any responsibility for RDW will be negated.

  6. Failure to attend a booked date, make full payment before the booked date or if you are late for the event will result in forfeiture of your booking. No refund will be given and any vouchers used will become invalid. No alternative date will be given.

  7. Bookings can be transferable, please contact the office in advance during office hours to arrange this. There is a £25 administration fee for this.

  8. You have the right for a full refund within 7 days of making your purchase. If you wish to do this, please inform us in writing within those 7 days. If you are requesting a cancellation via post, please ensure you hve proof of delivery.

  9. After 7 days of your purchase, we hold a no cancellation policy. RDW cannot be held responsible for any reasons be it health or otherwise why you or a spectator cannot attend. This is because we will have turned other clients away who wanted to book your place and will be unable to get this time back.
